WE ONLY GET to know the value of some things when they’re gone or broken.
For most, if not all offices, copiers are one of the most basic tools they have – so basic that when they fail, it will seem like the whole office has failed. Sure, we can hire someone like those from Copier Columbus to repair it, but as they all say, prevention is so much better than cure.
As such, here are some tips from copier experts — as inspired from Superior Office Systems New York and Click Smart Business — on how to give proper care to our copiers and maintain its integrity and function:
- Shut it off.
As with any other complex machine, it needs a good amount of time-off especially when not in use. Shutting off is one of the most basic maintenance tips we tend to forget but is critical to the copier’s longevity.
- Warm it up.
Warming the copier up before using it allows it to calibrate for proper functioning.
- Dust regularly.
Keep the exterior and interior of your copier dust-free by using a slightly-damp towel and small brushes, respectively. Make sure that the dusting towel is not too wet and that the brushing action is gentle enough.
- Clean and protect the glass.
Through time, dirt can get stuck onto the glass. Use a non-abrasive cloth to get the dirt out. Furthermore, keep the cover on top of the glass to keep both dirt and scratches from getting onto it.
- Keep ink cartridge head clean.
Ensure that the ink cartridge head is clean when changing ink cartridges
- Use and store quality paper properly.
While it is important to know that quality paper works best since it gives off less paper dust, it is also critical to keep paper in good condition. Store unused paper in their respective packages or in dry areas.
- Load paper carefully and correctly.
Do not be in a rush to reload the copier, and only load its tray with approximately half a ream. This is to prevent paper jam from occurring.
- Empty waste toner
Ignoring the full waste toner notice the copier gives can eventually make the machine stop from functioning. Refer to the manual of your copier for instructions.
- Know when to check with IT
When a copier slows down or halts completely, showing an error notice, you might need to call in a professional. However, it has also been said that calling in your IT fixes the problem faster given that it may be a network connection issue.
